INTRODUCTION
Engage Business Media, a leading multi-platform media and events organisation dedicated to advancing customer and employee engagement, marked the 10th anniversary of its flagship Employee Engagement Summit in May 2025. To commemorate this milestone, the company partnered with Encore to deliver a reimagined experience that would reflect both its growth and its ambition.
Shifting to a larger venue, the summit required a fresh production approach that could accommodate increased capacity and enhance the delegate experience. Building on a strong, long-standing relationship, Engage Business Media entrusted Encore with designing and delivering a dynamic event environment that combined creativity, technical expertise, and operational excellence.
OBJECTIVES
The event’s mission was to redefine how organisations connect with their employees by bringing together global brands and industry leaders for a day of insights, networking, and best-practice sharing. To achieve this, the project’s core objectives included:
- Expanding capacity to accommodate a growing delegate base
- Creating a visually striking main stage and adaptable breakout rooms
- Delivering reliable technical production across audio, video, and lighting
- Managing a seamless transition to the new venue with minimal disruption
DELIVERY
Encore provided complete technical and set production for the main stage and breakout spaces, excluding exhibition stands and certain branding elements. Despite a one-day setup window, the team executed a precisely managed installation to ensure readiness for more than 2,500 attendees.
The production design combined bold creativity with technical precision. A custom-built set defined the main stage, while six breakout rooms were designed to deliver maximum impact. Supporting this was a robust technical infrastructure managed by specialist crews in rigging, audio, video, and lighting.
A highlight of the event was the innovative use of 1,000-litre water tanks, dramatically illuminated to form a striking visual centrepiece across the main and breakout stages. This creative feature became a talking point among delegates and set a distinctive tone for the summit.
The operation was led by two experienced Project Managers, supported by 30 Encore technicians and 15 local crew members. Close collaboration with exhibition stand builders and venue teams ensured smooth delivery within the demanding timeframe.
CHALLENGES
The most significant challenge was the limited one-day installation period, which required meticulous coordination and concurrent workflows. To overcome this, Encore deployed dedicated crews for each technical discipline, enabling simultaneous progress while maintaining quality control.
Another complexity was working in a shared build space alongside exhibition stand contractors. Effective project management, proactive communication, and clear logistical planning ensured collaboration remained efficient and productive.
Pre-event planning was equally critical. Anticipated challenges were identified early and resolved in advance, ensuring no disruption to the event schedule.
OUTCOME
The result was a seamless, high-impact summit that successfully translated Engage Business Media’s vision into reality. The illuminated water tanks served as memorable focal points, while the technical delivery supported flawless stage presentations and breakout sessions.
Encore also ensured a smooth transition from The Brewery to Evolution London, mitigating risks associated with venue changes and establishing a scalable production model to support the summit’s future growth.
