During London Climate Action Week 2025, Octopus Energy brought its Tech Summit to Evolution London for a one-day conference and expo focused on accelerating the energy transition. Originally planned for 400 delegates, the event rapidly grew to over 2,800 attendees, requiring a venue capable of supporting a large-scale experience. Evolution London provided the space and infrastructure, while we, as the in-house production provider, delivered full technical production, bespoke upgrades and rapid creative solutions within just two weeks.

The client wanted to create an immersive, memorable environment that fully captured the Octopus Energy brand. At the heart of the vision was a central main stage featuring a large, high-impact 10m x 3m LED wall, designed to act as the focal point for the event. Extensive branding throughout the venue drew on an octopus-inspired visual theme, with pink carpets, wall graphics and custom gobo projections injecting the brand colour throughout the space. Leveraging our high-tech Smart Summer Installation, already aligned with their specifications, we enhanced and upgraded the venue to realise their evolving vision.

A key part of the programme was a major industry announcement, which required a vehicle to be driven onto the stage during a live presentation. This high-profile moment demanded both creative flair and technical precision, planned meticulously within the two-week lead time to ensure safety and maximum visual impact.

REALITY

We delivered full-service production, combining technical expertise, creative design, and operational management. We drew on our design and installation experience to deliver the client’s elevated requirements, working closely with Octopus Energy throughout the process. CAD plans, technical drawings and detailed specifications were shared in weekly meetings and ad-hoc discussions to ensure every element aligned with their vision.

The event was delivered over one live day, supported by a dedicated rigging and rehearsal day. The main stage was upgraded with a centrally flown 10m x 3m, 2.5mm LED wall, providing a bold visual focal point for the 2,800-seat auditorium. The venue was fully branded with mesh banners, full wall vinyls, stair riser graphics and custom gobos, while pink carpets and wall projections reinforced the Octopus identity reflecting on our ability to integrate creative vision with technical precision.

To deliver the high-profile vehicle announcement, we replaced the existing stage with a steeldeck platform and built a 12-metre ramp, enabling high-profile guests to drive an electric vehicle onto the stage safely. The moment was enhanced with a coordinated light show, creating a dramatic, memorable reveal. After the event, the installation was returned to its standard configuration seamlessly, demonstrating our operational flexibility.

CHALLENGE

The primary challenge of the Octopus Energy Tech Summit 2025 was the exceptionally tight lead time. From confirmation to event day, we had just two weeks to deliver a production that significantly upgraded the existing summer package.

Just one week before the event, the client requested a new creative element: a car driving onto the stage during a live presentation. This introduced complex considerations, including the vehicle’s weight, point loading on the venue floor, stage suitability, and the design and construction of a compliant ramp. Delivering the moment safely required rapid design development, structural calculations and venue approvals. The original stage could not support the vehicle, so we installed a steeldeck stage and built a custom 12-metre ramp to accommodate the load securely.

Achieving this demanded fast-track quotations, swift structural assessments, and close coordination with the venue to meet all safety and operational requirements. Balancing these last-minute creative changes with the integrity of the installed production required meticulous planning, flexibility, and constant collaboration across all technical and operational teams.

OUTCOME

The Octopus Energy Tech Summit 2025 successfully delivered a complex, bespoke production under tight deadlines. Our in-house expertise and collaborative approach allowed us to integrate structural upgrades, technical production and creative branding seamlessly.

The car-on-stage reveal beneath the LED wall became the standout moment of the day, generating buzz and memorable audience impact. The event was delivered to a high standard, with all technical upgrades and branding executed successfully.

The client’s satisfaction resulted in approval for this case study and plans for the Summit to return in 2026 for an even larger and more ambitious event.
