THE IDEA

IPG Retreats 2025 is Simmons & Simmons’ annual international conference, bringing together teams from across the global firm for strategic updates, collaboration, and connection. The idea behind the event was to create a multi-layered experience that fostered engagement across regions, encouraged knowledge-sharing, and strengthened relationships across the firm. Held at the Pullman Paris Montparnasse, one of our partner venues, the event spanned two consecutive weeks and featured five separate conferences running simultaneously, with four events delivered in parallel pairs and a fifth hosted independently.

Building on the success of the 2023 edition, which we also supported at the same venue, the 2025 brief required a familiar yet refined approach. The client sought consistency across the conferences while introducing subtle organisational and creative enhancements. As the venue’s in-house production partner, our remit covered full technical production and scenic delivery, including video, audio, lighting, and décor.

THE REALITY

We worked closely with Simmons & Simmons team to develop an efficient and well-coordinated production plan. Following a detailed site inspection and multiple planning meetings, we refined the technical layouts within the designated ballrooms, focusing on proven configurations while optimising flow, capacity, and delegate experience.

One of the defining features of the project was the delivery of four conferences running two parallel conferences across two consecutive weeks. All scenic and technical setups were held in place between weeks, with only minor adjustments required to accommodate a change in room allocation due to capacity. This continuity is rare in large-scale hotel environments and proved to be a significant operational advantage, reducing turnaround time and ensuring visual consistency across events. A standout element was the bespoke scenic build in Ballroom 4, featuring a 16m x 4m structure that combined scenic backdrop and video projection to create a strong visual focal point for the conference content.

THE OUTCOME

IPG Retreats 2025 was delivered impeccably, despite the challenge of multiple concurrent events. Close collaboration between our technical teams and the client played a crucial role in this success. Our technicians approached every task with care, flexibility, and precision, ensuring a premium experience across all events. By combining technical expertise with an intimate understanding of the venue’s unique spaces, we crafted cohesive, high-quality events that ran flawlessly throughout a demanding schedule.

While logistical challenges arose, clear communication and collaborative problem-solving enabled us to balance continuity from previous editions with fresh creative elements and the client’s expectations. The success of IPG Retreats 2025 reinforced our capability to deliver complex, multi-event conferences while maintaining consistency, quality, and innovation across extended timelines.
